1. General
These Terms & Conditions apply to all clients, visitors, and users of our website and services. We reserve the right to amend these terms at any time without prior notice.
By booking a class or using our services, you confirm that you have read, understood, and agreed to these Terms & Conditions.
2. Health & Participation
Participation in reformer Pilates and fitness activities is undertaken at your own risk.
By attending classes, you confirm that:
You are physically fit and able to participate safely.
You have disclosed any injuries, medical conditions, pregnancy, or physical limitations prior to class.
You understand that exercise carries inherent risks, including injury.
Clients are responsible for working within their own limits and following instructor guidance at all times.
We recommend seeking medical advice before starting any new exercise programme, particularly if you are pregnant, recovering from injury, or have underlying health concerns.
3. Bookings & Payments
All classes, memberships, and packages must be booked in advance through our booking platform or website.
Payment is required at the time of booking unless otherwise stated.
Prices are subject to change at any time.
Memberships and class packs are non-transferable and may not be shared.
4. Cancellation & Late Cancellation Policy
To maintain fairness and availability for all clients:
Classes must be cancelled within the stated cancellation window shown at the time of booking.
Late cancellations or no-shows may result in loss of the session and/or a fee.
Clients on a waitlist may be automatically added into class if a space becomes available.
It is the client’s responsibility to monitor bookings and waitlist notifications.
5. Waitlist Policy
If a class is full, clients may join the waitlist.
Spaces are allocated automatically in order of the waitlist.
If added into class, the standard cancellation policy will apply.
Clients are responsible for checking email, SMS, or app notifications regarding waitlist status.
6. Studio Etiquette & Community Standards
We are committed to maintaining a welcoming, respectful, and premium studio environment.
We ask all clients to:
Arrive on time for class.
Treat staff, instructors, and fellow clients respectfully.
Keep mobile phones on silent during sessions.
Follow all instructor safety guidance.
Maintain personal hygiene appropriate for a shared fitness environment.
Disruptive, aggressive, inappropriate, or unsafe behaviour may result in refusal of entry or termination of memberships without refund.
7. Grip Socks & Studio Safety
Grip socks must be worn during all reformer classes for hygiene and safety reasons.
Clients may be refused participation if appropriate grip socks are not worn.
8. Pregnancy
Clients who are pregnant must inform instructors prior to participating.
While reformer Pilates can be beneficial during pregnancy, participation is entirely at the client’s own risk and subject to medical approval where appropriate.
We reserve the right to restrict participation in certain exercises or classes for safety reasons.
9. Personal Belongings
Clients bring personal belongings into the studio at their own risk.
Reformer Flex accepts no responsibility for loss, theft, or damage to personal items while on the premises.
10. Equipment Use & Damage
Clients are expected to use all reformers and studio equipment responsibly and in accordance with instructor guidance.
Any intentional misuse, negligence, or damage caused to studio equipment may result in charges for repair or replacement.
11. Photography & Social Media
From time to time, photos or videos may be captured within the studio for marketing and social media purposes.
By attending classes, you acknowledge that you may appear in studio content unless you notify us otherwise in writing.
Clients are welcome to share their experience online, but we ask that the privacy and comfort of others is respected at all times.
12. Memberships & Founding Member Rates
Where applicable:
Founding Member pricing is exclusive, limited, and subject to eligibility criteria.
Founding rates remain valid only while memberships remain active and uninterrupted.
Missed or cancelled payments may result in loss of promotional pricing.
Additional membership-specific terms may apply at the point of purchase.
13. Website Use
All website content, branding, logos, imagery, and materials are the intellectual property of Reformer Flex and may not be copied, reproduced, or distributed without written permission.
We do not guarantee uninterrupted or error-free access to the website.
14. Limitation of Liability
To the fullest extent permitted by law:
Reformer Flex shall not be liable for any injury, loss, damage, or claim arising from participation in classes, use of facilities, or website access.
Nothing in these Terms excludes liability where it cannot legally be excluded.
